Terms of service

Clear terms for using EziShift

These terms explain the conditions that apply when an organisation or authorised user creates an EziShift account, accesses a workspace or uses the platform.

Who provides EziShift

EziShift is operated by Brayden Terrence Rouen, ABN 62 144 654 542, trading as EziShift in Queensland, Australia. Questions can be sent to support@ezishift.au.

Your organisation is responsible for

  • Keep account credentials secure and remove access when a user no longer needs it
  • Only enter information the organisation is authorised to collect and use
  • Review rosters, notes, invoice lines, rates and payroll estimates before relying on them
  • Maintain any records that must be retained outside EziShift
  • Use the platform lawfully and in accordance with applicable workplace, privacy, funding and industry obligations

1. Using EziShift

EziShift is an operational workforce platform for Australian service businesses. It can support rostering, staff management, clients and work areas, shift records, operational notes, invoicing, payment-status tracking, payroll estimates, exports and related workflows.

By creating an account or continuing to use EziShift, you agree to these terms on behalf of yourself and, where applicable, the organisation whose workspace you use.

2. Accounts and authorised users

Organisations are responsible for deciding who may access their workspace and what access level each user should have. Login details should not be shared between people. EziShift may restrict or disable access where there is a reasonable security, abuse or legal concern.

3. Operational and sensitive information

EziShift supports operational records, including NDIS Progress Notes and business-specific shift or job notes. EziShift is not a dedicated medical or clinical record system. Organisations are responsible for deciding what information is appropriate and lawful to enter and for avoiding unnecessary sensitive information.

4. Invoicing and NDIS billing

Invoice and billing features are tools to help prepare, record and review information. The organisation remains responsible for the accuracy and lawfulness of every invoice, claim and submission. EziShift does not itself submit NDIS claims unless a separate feature expressly says otherwise.

  • GST, tax and customer-specific invoicing requirements
  • Final review and submission of invoices or claims

5. Payroll summaries and pay estimates

EziShift can calculate roster-based hours, configured pay rules and payroll estimates. These outputs are not a final payslip, payroll lodgement, tax calculation or substitute for professional payroll or accounting systems.

  • Final award, agreement and employment-condition interpretation
  • PAYG withholding and tax declarations
  • Superannuation obligations
  • Payslips, STP and payroll lodgements
  • Leave, deductions, salary sacrifice and other employee-specific adjustments
  • Final processing through appropriate payroll or accounting software

6. Pricing, free trial and recurring billing

New EziShift business workspaces receive the advertised 30-day free trial where eligible. No card is required to create the trial workspace. A paid subscription only begins when an authorised administrator chooses to subscribe.

All advertised subscription prices are in Australian dollars. Before payment is authorised, checkout will show the applicable amount, billing frequency and any tax or other unavoidable amount that must be included in the total payable.

Paid subscriptions renew monthly until cancelled. By starting a recurring subscription, you authorise EziShift and its payment provider to charge the selected payment method at each billing period at the price that applies to that subscription.

7. Founding offer — workspaces created by 30 November 2026

The founding offer is available to genuine EziShift business workspaces created on or before 11:59 pm AEST on 30 November 2026. Eligible existing customers and eligible workspaces created before that deadline are included.

An eligible workspace can secure the founding subscription at A$39 per month flat, with no per-staff fee. To secure that rate, the workspace's first paid subscription must begin no later than 11:59 pm AEST on 31 January 2027. Once secured, the A$39 founding rate continues while that paid subscription remains continuously active.

The founding rate belongs to the eligible business workspace and is not transferable or saleable separately from that business. A single workspace must not be used to combine unrelated businesses merely to avoid additional subscriptions or staff-based pricing, unless EziShift has agreed another arrangement in writing.

If the founding subscription is cancelled and reaches the end of its paid access, is terminated, or otherwise fully ends, the founding rate lapses. A later restart or new subscription is charged at the pricing then available. A temporary payment retry or past-due state does not by itself remove the founding rate if the same subscription is restored without being terminated.

The founding rate removes per-staff subscription charges from that eligible subscription. It does not remove stated storage and fair-use limits, or automatically include future optional paid add-ons, third-party pass-through services or additional storage products that are separately offered and clearly priced.

8. Standard pricing from 1 December 2026 for new workspaces

For new EziShift business workspaces created from 1 December 2026, the standard monthly subscription price is A$40 per month for up to 10 active staff, plus A$4 per month for each additional active staff member above 10, unless another clearly disclosed plan or written agreement applies.

For staff-based pricing, an active staff member is a staff record in the workspace marked Active. Archived staff are not counted. The applicable staff count and subscription amount may be recalculated for future billing periods as the number of active staff changes.

Any applicable amount will be shown through the billing flow before a new subscription is authorised. EziShift may introduce different plans or optional products in the future, but they will not silently replace the secured A$39 founding base rate for an eligible continuously active founding subscription.

9. Cancellation, refunds and failed payments

Customers can cancel future renewal through Account Settings or another clearly disclosed cancellation method. Cancellation normally stops future renewal charges while paid access continues until the end of the already-paid billing period unless a refund, consumer-law remedy or other arrangement applies.

If payment fails, EziShift may retry the payment, request an updated payment method or restrict paid features after reasonable notice. See the Refunds & Cancellations policy for more information, including how cancellation affects founding pricing.

10. Price changes

Fees, optional products and future plans may change for future billing periods. Any material increase affecting an existing recurring subscription will be communicated before the increased amount is charged, subject to applicable law, and customers can cancel future renewal before an increased charge takes effect.

Where an eligible customer has secured the A$39 founding subscription under section 7, EziShift will not apply the standard per-staff subscription pricing to that continuously active founding subscription.

11. Availability and changes to the service

EziShift aims to provide a reliable service but does not guarantee uninterrupted or error-free availability. Maintenance, infrastructure incidents, third-party outages, security work or product updates may temporarily affect access.

EziShift may improve, replace or retire features where reasonably required. Material changes that significantly affect paid customers should be communicated where practical.

12. Acceptable use

  • Attempting unauthorised access to EziShift, another organisation or another user
  • Interfering with, overloading or deliberately disrupting the service
  • Using automated scraping, bulk extraction or automated requests in a way that harms, overloads or circumvents platform limits
  • Reverse engineering except where a right cannot lawfully be excluded
  • Using EziShift to store or distribute unlawful, malicious or infringing material
  • Using EziShift primarily as a general-purpose file hosting, backup, media distribution or download service
  • Uploading malware, executable code or files intended to compromise the service or another person
  • Circumventing storage, upload, rate, access, staff-count or other technical or commercial limits
  • Sharing access outside the authorised organisation without permission

13. Storage, uploads and fair use

EziShift includes storage and infrastructure for ordinary business use of the platform. To keep the service reliable and the subscription commercially sustainable, the following limits apply unless EziShift agrees otherwise in writing.

  • The standard EziShift subscription includes up to 5 GB of stored files per organisation unless a different allowance is stated for that account
  • Uploaded documents are limited to 20 MB per file and profile photos are limited to 5 MB after EziShift compression
  • EziShift may restrict supported file types and reject files that are unsafe, unsupported, corrupted or inconsistent with the feature being used
  • Storage is provided for records reasonably connected with normal EziShift workflows and is not intended for general file hosting or archival backup
  • Reasonable technical and rate limits may be applied to uploads, downloads, automated requests, exports or other resource-intensive activity to protect service reliability and cost
  • Where a workspace reaches its storage allowance, existing files may remain accessible but further uploads may be blocked until storage is reduced or another arrangement is agreed

EziShift may temporarily restrict an upload, download, export, automated request or account activity where it reasonably appears abusive, unsafe, unusually resource-intensive or designed to avoid these limits. Where practical, EziShift will provide a reasonable opportunity to correct ordinary overuse before terminating a paid account.

14. Customer data, exports and end of access

As between EziShift and the customer, the customer remains responsible for the business information it enters into its workspace. Customers should export or retain records separately where required by law, funding conditions, employment obligations, internal policy or another system of record.

Customers should export information they need before their access ends. Unless a longer period is stated or retention is required by law, security, dispute handling or another legitimate obligation, EziShift may delete workspace data from active systems 30 days after paid or authorised access ends. Backup or disaster-recovery copies may remain for a limited period before being overwritten in the ordinary course.

15. Liability and professional review

To the extent permitted by law, EziShift is provided as a business software tool and is not responsible for losses caused by inaccurate customer-entered data, failure to review generated outputs, incorrect claiming, incorrect payroll configuration, unlawful use, or matters that should reasonably have been checked in a specialist system or by a qualified adviser.

Nothing in these terms excludes rights or guarantees that cannot lawfully be excluded under Australian law, including applicable rights under the Australian Consumer Law.

16. Suspension and termination

Access may be suspended or ended for serious misuse, non-payment where payment is required, security risk, unlawful activity, deliberate circumvention of platform limits or a material breach of these terms. Customers may stop using EziShift at any time, subject to any billing or written agreement that applies to their account.

17. Governing law and contact
